I need to add the value to multiple documents in my case. For example I have 20-30 documents that are all Letters. Is there an easy way of doing this without having to hand code each document?
In Verdical Build 1.2.2.0, we introduced a feature called BATCH CODING. This can be done either on a PAGE LEVEL (meaning the ability to have a different values for each page of the document) or on a DOCUMENT LEVEL (where the same entry is duplicated throughout the document). PAGE LEVEL coding is, more often than not, the more desired coding standard, simply because it allows users to enter different values and integers throughout the document. The Batch Coding supports both standards, but obviously if you are using PAGE LEVEL coding and you batch a selection of documents, that value will be mirrored throughout the document.
In this example, I have a set of documents in a grouping called CASE STUDIES. Since they are all "Case Studies" I may want to enter a value into my coding fields, that designates that. Or perhaps these are all documents written by the same Author. In either selection I want to add that value to each of these documents quickly and efficiently. Before I can use the Batch Coding feature, I should go ahead and create the Coding Template that I want to use for this particular case:
From the TOOLS--->Coding Setup screen, I'll have the ability to create the Field Values that I want to use:
Once I've setup my Coding with the field values that I'll want to use, I can then Batch Code certain selections within my case. Using the same Case Studies example, I'll want to add the same Author to my documents. Since the AUTHORS field was setup as a Multi-Pick List (the same holds true as a PICK LIST) I'll need to first add that value into my case from the coding screen. Fields that are created as TEXT, NUMBER, DATE, MONEY, DECIMAL or MEMO do not have to be created first, as they are just adding values to that particular Field. For PICK and MULTI-PICK LISTINGS, you will need to enter the particular value you want to use first in the Coding Screen, then can pass that integer over to multiple documents.
This example we are going to add an author to this particular set of documents:
In selecting Add to Batch Code, as long as I have already added the value I want to my Pick Lists, I can then add this specific author to each of my selected Documents:

Once my items have been added to my documents, I can then see the information in my Coding Screen, just as if I hand coded those items individually.
This again will save me the time and effort to hand code each of these particular documents with the same value. This in turn will help me code and add data to each of my documents quickly and efficiently.
